Managing Asset Billing Details

The Billing section lets you edit the billing details of the asset such as bill code applied on the asset, base charge, additional base charge, insurance charge, replacement charge, and override charge.

Tip

To view the Edit Asset Billing dialog box, click the Edit Asset Billing link.

Editing the Asset Billing Details

To edit billing details

1.    Search and view the asset record.

2.    Click the Life Cycle, Billing tab.

3.    In the Billing section, click the Edit Billing Details link.

The Edit Asset Billing dialog box opens.

4.    Edit the details as required:

o      In the Bill Code list, edit the bill code type that is used to bill the asset department.

The Billing for Items section displays the billing type of items based on the bill code selected.

o      In the Base Charge section, edit the following details:

§       In the Rate box, type the base rate charge per billing cycle.

For example, if you want to collect $6000 per year in base charges, you process your billing as:

(i)     Once a month, set the rate at $500.00.

(ii)    Twice a month, set the rate at $250.00.

(iii)  Every two weeks, set the rate at $230.77.

§       In the Comment box, type a comment or message related to the base charge.

o      In the Additional Base Charge section, edit the following details:

§       In the Type list, select the type of additional base charge applied on the asset.

For example, monthly fixed maintenance, vehicle inspection fees, tag replacement, parking fees, and annualized overhead.

§       In the Rate box, type the rate of the additional base charge per billing cycle

For example, if you want to collect $600 for the months of January, April, July, and October as additional base rate, you process your billing as:

(i)     Once a month, set the rate at $600.00.

(ii)    Twice a month, set the rate at $300.00.

§       From the Not Applied section, use the arrows to select the months in which the additional base charge is applicable.

The billing process uses the month of the billing periods ending date when determining which months to include the additional base rate.

o      In the Insurance Charge section, edit the following details:

§       In the Coverage Rate box, type the amount that represents the insurance coverage amount for the asset.

For example, a 2017 Ford Fusion Hybrid Titanium Electric car may have a coverage amount of $38,000 (the asset’s purchase price).

§       In the Premium Rate box, type the amount of the insurance premium rate charge per billing cycle.

For example, if you want to collect $3600 per year in insurance rate charges, you process your billing as:

(i)     Once a month, set the rate at $300.00.

(ii)    Twice a month, set the rate at $150.00.

(iii)  Every two weeks, set the rate at $138.46.

o      In the Replacement Charge section, edit the following details:

§       In the Rate box, type the amount of replacement charge per billing cycle. If you want to collect $4800 per year in replacement charges, you process your billing as:

(i)     Once a month, set the rate at $400.00.

(ii)    Twice a month, set the rate at $200.00.

(iii)  Every two weeks, set the rate at $184.62.

§       In the Continue Charging After Residual list, select Yes or No.

When you select No, FASTER Web stops collecting and/or prorate the last charge of the replacement charge when the replacement collected equals the original replacement cost – salvage value. When Yes, the replacement charge continues to be added to the replacement collected until the replacement charge is removed or the asset’s status is changed to ‘C’ or ‘D’.

o      In the Cost Per Meter Charges section, edit the following details:

§       In the Meter Type list, select the meter type used to calculate cost per meter charges.

An asset can have more than one meter and therefore you must indicate the meter that is to be used to calculate the cost per meter charges.

o      In the Override Charges section, edit the following details:

§       In the Labor Rate list, select override labor rate to be used on work orders associated with the asset.

This override repair rate is applied instead of the technician’s Labor Standard Rate whenever repairs are performed on the asset.

§       In the Meter Rate box, type the cost per meter that will override the value specified in Setup > Assets > Fields > Cost Per Meter rate for the asset.

All other settings specified in the Setup > Assets > Fields > Cost Per Meter will still be in effect, only the rate changes.

5.    Click one of the following:

o      Save to save the information and close the dialog box.

o      Cancel to disregard any changes and close the dialog box.

Note: Only asset charges with a status of C or D are excluded from billing (Base, Other Base, Insurance, Replacement, Mileage). All Fuel, Work Order, Direct Charge Documents, and Motor Pool charges are billed regardless of status.
