Cyclical Inventory Count

The Cyclical Inventory Count page  lets you adjust the quantity of items in cycles. The number of items for which you can adjust quantity in each cycle is equal to the total items in a storeroom divided by a predefined divisor.

You can perform Cyclical Inventory Count on all the storerooms or on an individual storeroom based on the settings defined in the Setup module.

Tip

To view the Cyclical Inventory page, click the Cyclical Inventory link.

To perform a cyclical inventory count

1.    Click the Inventory module.

2.    In the Actions section, click Perform Inventory.

The Physical Inventory Count page opens.

3.    Click Cyclical Inventory Count.

4.    In the Storeroom list, select the storeroom.

5.    Click Generate Cycle.

Note:

·       The Cycle Due count indicates the current inventory count cycle number that you can perform on the selected storeroom.

·       Select the Include Closed and Obsolete Items check box to include inventory count of the items that are closed or made obsolete.

·       Select the Include Items With Zero Quantity check box to include inventory count of items that are not in stock.

The cycle displays the items for which you can perform the inventory count.

6.    In the Count column, type the current quantity of items.

7.    Click the Process Counts Entered link.

Note: If there is a variance in the existing quantity of an item and the current quantity counted, a message is displayed. Click the Edit link to correct the item quantity or enter a reason to adjust the item quantity.

 

Navigation Tips:

  • To expand or collapse the grids in the search window, click to the right of the title bars.
  • To move the grids in the search window, drag a grid to a desired location. To save the position of the grid, click the icon. The position of the grids will be the same next time you open the search window.
  • To sort the search results displayed in a column by any category, click the column header.
  • To browse through the search results, use the arrows in the upper part or the lower part of the search result grid. You can also specify whether to display the entire search result or ten results at a time.
  • If there are too may results to display, the search returns an error message as The search results exceed the maximum number of records allowed. Only the first ‘x’  records are being shown. Please refine your search criteria if the record for which you are searching is not in the list returned. You must narrow your search to display targeted results.
  • To export the search results to a spreadsheet, word document, or CSV file, click the appropriate export link on the upper-right corner of the search results grid.

 

Exporting the Search Results Grid

You can export the Search Results grid in the following formats:

·       Microsoft Excel (.xlsx)

·       Microsoft Word (.docx)

·       Comma-Separated Values (.csv)

To export the search results grid

1.    Click the Microsoft Excel ( ), Microsoft Word ( ), or Comma-Separate Value ( ) icon in the upper-right corner of the Search Results grid.

The File Download dialog box opens prompting you to Open, Save, or Cancel.

2.    Click Save.

The Save As dialog box is displayed with the File Type of the selected format.

3.    Browse to the desired location, specify a file name, and then click Save.

The Search Results grid is saved in the specified format at the specified location.

Resume Previous Cycle

If you have missed to adjust the quantity of items listed in a cycle or want to again adjust the quantity, you can resume inventory count of a previous cycle.

To resume counting of a previous cycle

1.    Open the Cyclical Inventory Count page.

2.    In the Resume Counting the Previous Cycle section, select a storeroom from the Storeroom list.

3.    In the Previous Cycle list, select the cycle number for which you want to perform inventory count.

Note:

  • You can select the Include Closed and Obsolete Items check box to perform inventory count of the items that are closed or made obsolete.

  • You can select the Include Items With Zero Quantity check box to include inventory count of items that are not in stock.

4.    Click Resume Counting a Previous Cycle.

5.    In the Count column, type the current quantity of items.

6.    Click the Process Counts Entered link.

Exporting the Search Results Grid

You can export the Search Results grid in the following formats:

To export the search results grid

1.    Click the Microsoft Excel ( ), Microsoft Word ( ), or Comma-Separate Value ( ) icon in the upper-right corner of the Search Results grid.

The File Download dialog box opens prompting you to Open, Save, or Cancel.

2.    Click Save.

The Save As dialog box is displayed with the File Type of the selected format.

3.    Browse to the desired location, specify a file name, and then click Save.

The Search Results grid is saved in the specified format at the specified location.
