Searching an Issued Item

The Advanced Search Options - Item Issue section lets you search for the items that are issued to a work order or direct charge to perform an asset repair.

Tip

To view the Advanced Search Options - Item Issue page, click the Advanced Search Options - Item Issue link.

To search the issued item

1.    Click the Inventory module.

2.    In the Actions section, click Search Issued Item.

3.    In the Advanced Search Options - Item Issue section, specify the following search parameters:

o      In the Asset Number box, type the asset number for which the item is issued.

o      In the Class list, select the asset class.

o      In the Date From and Date To fields, type the date range when the item is issued in the MM/DD/YYYY format, or select the dates from the calendar.

o      In the Item Number box, type the unique item number.

o       In the Item Name box, type the item name.

o      In the Group and Component list, select the group and component of the asset repair.

o      In the Year box, type the year of manufacture of the asset.

o      In the Make and Model list, select the make and model of the asset.

o      Select the Exact Match check box if you are sure that you have entered the correct text in the Item Number, Item Name, and Asset Number box.

4.    Click Search.

The Search Results grid displays the items issued along with the following information:

o      Item Number

o      Storeroom

o      Item Name

o      Year

o      Make

o      Model

o      Class

o      Technician

o      Asset Number

o      Organization

o      Document Number

o      Issue Date/Time

o      Quantity

o      Issue Price

o      Extended Cost

Navigation Tips:

  • To expand or collapse the grids in the search window, click to the right of the title bars.
  • To move the grids in the search window, drag a grid to a desired location. To save the position of the grid, click the icon. The position of the grids will be the same next time you open the search window.
  • To sort the search results displayed in a column by any category, click the column header.
  • To browse through the search results, use the arrows in the upper part or the lower part of the search result grid. You can also specify whether to display the entire search result or ten results at a time.
  • If there are too may results to display, the search returns an error message as The search results exceed the maximum number of records allowed. Only the first ‘x’  records are being shown. Please refine your search criteria if the record for which you are searching is not in the list returned. You must narrow your search to display targeted results.
  • To export the search results to a spreadsheet, word document, or CSV file, click the appropriate export link on the upper-right corner of the search results grid.

 

Exporting the Search Results Grid

You can export the Search Results grid in the following formats:

·       Microsoft Excel (.xlsx)

·       Microsoft Word (.docx)

·       Comma-Separated Values (.csv)

To export the search results grid

1.    Click the Microsoft Excel ( ), Microsoft Word ( ), or Comma-Separate Value ( ) icon in the upper-right corner of the Search Results grid.

The File Download dialog box opens prompting you to Open, Save, or Cancel.

2.    Click Save.

The Save As dialog box is displayed with the File Type of the selected format.

3.    Browse to the desired location, specify a file name, and then click Save.

The Search Results grid is saved in the specified format at the specified location.
