Managing Associated Items

In the Associated Items section, you can add assets to the task list. The steps to add assets to the task list differs based on the association type assigned to the task list.

Tip

To add assets to the task list if the association type is asset number

1.    Search and view the task list.

2.    In the Associated Items section, click the Add Associated Items link.

The Add Associated Items dialog box opens.

3.    In the Search Options - Assets section, specify the following search parameters to filter the assets you want to add to task list:

a.    In the Asset Number box, type the asset number.

b.    In the Asset Organization list, select the asset organization.

c.     In the Class list, select the asset class.

d.    In the Year box, type the year of manufacture of asset.

e.    In the Make list, select the asset make.

f.      In the Model list, select the asset model.

g.    Optionally, if you know the exact asset number, select the Exact Match check box to exactly match the search result with the search parameters.

4.    Click Search.

The Search Results grid displays the assets searched based on the search parameter.

5.    Select the assets you want to add to the task list.

6.    Click one of the following:

o      Save to save the information and close the dialog box.

o      Save & New to save the information and add another record.

o      Cancel to disregard any changes and close the dialog box.

Navigation Tips:

  • To expand or collapse the grids in the search window, click to the right of the title bars.
  • To move the grids in the search window, drag a grid to a desired location. To save the position of the grid, click the icon. The position of the grids will be the same next time you open the search window.
  • To sort the search results displayed in a column by any category, click the column header.
  • To browse through the search results, use the arrows in the upper part or the lower part of the search result grid. You can also specify whether to display the entire search result or ten results at a time.
  • If there are too may results to display, the search returns an error message as The search results exceed the maximum number of records allowed. Only the first ‘x’  records are being shown. Please refine your search criteria if the record for which you are searching is not in the list returned. You must narrow your search to display targeted results.
  • To export the search results to a spreadsheet, word document, or CSV file, click the appropriate export link on the upper-right corner of the search results grid.

 

To add assets to the task list if the association type is asset year-make-model

1.    Search and view the task list.

2.    In the Associated Items section, click the Add Associated Items link.

The Add Associated Items dialog box opens.

3.    In the Year box, type the year of manufacture of asset.

4.    In the Select Make & Model field, select the assets you want to add to the task list.

Note:

·       You can also add assets to the task list by clicking and selecting the desired assets from the Make and the Model search boxes.

·       You can clear the values from the Make and the Model search boxes by clicking Clear Filters.

5.    Click one of the following:

o      Save to save the information and close the dialog box.

o      Save & New to save the information and add another record.

o      Cancel to disregard any changes and close the dialog box.

To add assets to the task list if the association type is asset class

1.    Search and view the task list.

2.    In the Associated Items section, click the Add Associated Items link.

The Add Associated Items dialog box opens.

3.    In the Select Class field, select the assets you want to add to the task list.

Note:

·       You can also add assets to task list by clicking and selecting the desired assets from the Class and the Class Description search boxes.

·       You can clear the values from the Class and the Class Description search boxes by clicking Clear Filters.

4.    Click one of the following:

o      Save to save the information and close the dialog box.

o      Save & New to save the information and add another record.

o      Cancel to disregard any changes and close the dialog box.

Note: You can remove assets from a task list by selecting the assets in the Associated Items section and clicking the Remove Selected link.
